- Right-to-work, DBS and barred-list information needed for safeguarding and matching.

3. Why we use it
Likely purposes include responding to enquiries, taking steps toward or performing contracts, operating matching and booking services, meeting legal obligations, protecting platform security and supporting safeguarding. The final lawful bases must be mapped against the confirmed operating model.
4. Safeguarding and criminal-record information
DBS and barred-list information requires particular protection. The Article 9 or 10 UK GDPR condition, Data Protection Act 2018 Schedule 1 condition, Appropriate Policy Document, access controls and retention period must be confirmed with a solicitor and data-protection adviser before live vetting begins.
5. Sharing
RecruitCrew expects to share relevant staff information with schools considering or managing a booking, and to use service providers for hosting, communications and school subscription billing. The final policy will name confirmed provider categories and explain whether RecruitCrew and schools act as separate controllers or in another capacity for each flow.
6. Retention
Final retention periods for enquiries, account records, booking records, billing records, safeguarding evidence and security logs have not yet been approved. RecruitCrew will retain each category only for a documented period justified by the relevant purpose and legal obligations.
7. International transfers and security
The final policy must reflect the hosting and service providers actually in use, including any lawful international transfer safeguards. Access to safeguarding data will be restricted to people who need it for an authorised purpose.
8. Your rights
Depending on the circumstances, you may have rights to access, correct, erase, restrict, object to or transfer personal data, and to withdraw consent. Contact support@recruitcrew.co.uk. You may also complain to the Information Commissioner’s Office.
9. Children’s data
The intended service connects schools with adult supply staff and is not for use by pupils. Users must not enter pupil personal data into public enquiry or registration forms. Any future need to process pupil data requires a separate assessment and appropriate controls.
