1. Our commitment
RecruitCrew is a software service that connects schools with self-employed education professionals. We do not employ staff and we do not supervise them in school. We are still responsible for the checks we record, the information we pass to schools, and for acting on any concern reported to us. The welfare of children comes before any commercial consideration.
2. Scope
This policy applies to every RecruitCrew team member, to schools using the platform, and to every education professional registered with us. It should be read alongside our Terms of Business and Terms of Registration.
3. Checks recorded before matching
No education professional can receive a shift offer until all three of the following are recorded as clear by the RecruitCrew team:
- An Enhanced DBS check including a Children’s Barred List check.
- Confirmation of identity.
- Confirmation of the right to work in the United Kingdom.
Checks are carried out and recorded manually by our team using our provider subscriptions. Where a recorded check passes its renewal date, the account is paused automatically and no further shift offers are sent until the check is renewed.
4. Information shared with schools
For each confirmed booking, the school receives the recorded outcome of each check and a copy of the verified documents for its own safeguarding records. Staff are told about this sharing and consent to it when they register. Schools must store these copies securely and delete them in line with their own retention rules.
5. What the school remains responsible for
The school decides whether a person is suitable for its setting. It remains responsible for statutory safeguarding duties, on-site supervision, confirming identity on arrival, single central record entries and safer recruitment. Using RecruitCrew does not by itself satisfy Keeping Children Safe in Education.
6. Reporting a concern
Anyone with a safeguarding concern arising from a RecruitCrew booking should report it immediately to the school’s designated safeguarding lead and, in parallel, to RecruitCrew at support@recruitcrew.co.uk. Where a child is at immediate risk, contact the police on 999 or the relevant local authority children’s services first.
7. How we respond
On receiving a concern we acknowledge it, suspend the account from matching where the concern relates to a registered person, record the concern, and cooperate fully with the school, the local authority designated officer, the police and the Teaching Regulation Agency as appropriate. We do not conduct investigations that are properly the responsibility of a statutory body.
8. Whistleblowing and low-level concerns
Low-level concerns can be reported to us on the same address without fear of reprisal. We record them even where no formal referral follows, so that patterns can be recognised.
9. Records and review
Safeguarding records are kept securely and separately from ordinary account data, with access limited to the RecruitCrew team members who need it. This policy is reviewed at least annually and whenever law, statutory guidance or our own practice changes.
10. Related legislation and guidance
This policy is written with reference to Keeping Children Safe in Education, the Children Act 1989 and 2004, the Safeguarding Vulnerable Groups Act 2006, the Education (Independent School Standards) Regulations, the Conduct of Employment Agencies and Employment Businesses Regulations 2003 and the UK GDPR.
